Migrating from HubSpot to Zoho CRM: what moves and what you rebuild

How Zoho's built-in migration works

Zoho's help article says an administrator opens Setup > Data Administration > Import, chooses HubSpot on the Data Migration page, enters the HubSpot instance URL and an API token, and clicks Migrate Now. The token comes from a private app you create in HubSpot with read access to the relevant objects. Zoho says the migration runs in the background and you get an email when it finishes.

What Zoho says it moves

The help article lists these mappings: companies to Accounts, contacts to Contacts, deals to Deals, tasks to Tasks, meetings to Events, calls to Calls, notes to Notes, owners to Users, products to Products, and quotes with their line items to Quotes and Quoted Items. It also publishes a field-mapping table and tells you to use it before you start. Read that table against your own HubSpot properties rather than assuming every custom property lands where you expect.

Limits Zoho states

Zoho's article says custom modules are not supported in API migrations. It says you can undo or rerun the migration only 3 times, so treat each run as precious. It says a record with more than 10 tags keeps only the first ten, and that the migration pauses if more than 5,000 records in a module are skipped, letting you discard or continue. Afterwards you check results in Import History, where you can also undo the migration or delete and re-import.

What you should plan to rebuild (advice)

The Zoho article is about data. It does not describe HubSpot automations, so do not assume they come across. In our experience workflows, sequences, lead scoring and forms are platform logic and need to be redesigned in Zoho, not copied. That is also a chance to drop rules nobody uses. • List every HubSpot workflow, sequence, form and report your team really uses today.
• Decide for each one: rebuild in Zoho, replace with something simpler, or retire.
• Run a small test first and compare record counts and key fields before the real migration, since reruns are limited.
• Check how your HubSpot contacts landed and that records link to the right Accounts.

After the move

Clean data going in saves a lot of work later. Review duplicates, required fields and user permissions right after migration, and give the team a short first-30-days plan so adoption does not stall.
