Before you leave Zoho CRM

Thinking of leaving Zoho CRM? Fix it, restructure it, or migrate

Frustration with a CRM usually has a cause, and the cause decides the remedy. Before you cancel anything, work out which of three problems you have, then make sure your data is safe whichever way you go. Skyfall Labs is an official Zoho Partner and has a commercial interest in Zoho projects, so we keep the product facts below to what Zoho's own documentation states and link each one.

Statements below come from the Zoho pages listed under Sources, read 2026-10-14. Zoho changes its pages, plans and prices, so confirm current details with Zoho.

Step 1: Know what you can take out of Zoho CRM

  • Module exports: under Setup > Data Administration > Export, users with the Export (Module) permission can export to CSV or XLSX. Zoho states XLSX is capped at 50,000 records and CSV at 200,000 records from one module per export, and suggests splitting by Created Time or taking a backup for more. Daily export limits vary by edition. The download link is available for seven days and export history is kept for 60 days. Notes can be exported as an option.
  • Full data backup: under Setup > Data Administration > Data Backup, users with an administrative profile can request a backup (on a schedule or immediately). The data arrives as CSV files in a ZIP, split into CRM Data and CRM Attachments folders, and the download link stays active for a maximum of seven days. Zoho states email content and attachments, documents, and data obtained through integrations are not included. Included backups depend on your edition.
  • Recycle Bin: deleted records can be restored from Setup > Data Administration > Recycle Bin within 60 days, after which they are permanently deleted.
  • A backup does not cover your emails, documents or integration data, so each needs its own plan. Check where that data lives before relying on a backup alone.

Step 2: Fix, restructure or migrate? (practical advice)

This framework is practical advice from experience, not Zoho documentation.

  • Fix it when it is a configuration or adoption problem: the team is not entering data or enters it inconsistently, fields and pick-lists are messy, duplicates pile up, reports are not trusted, nobody has reviewed layouts, validation or permissions since the original setup, or the thing you want is something Zoho CRM can already do but nobody set up. Typical remedy: clean the data, simplify layouts, tighten required fields, add training, and review profiles and permissions.
  • Restructure it when the process has changed: new products, teams or regions, a pipeline that no longer reflects how deals move, work happening in spreadsheets and chat, or many manual hand-offs. Typical remedy: redesign modules, stages and fields, rebuild workflows and integrations, then migrate the old data into the new structure inside the same account.
  • Migrate when there is a real product mismatch: a documented, business-critical requirement that Zoho CRM cannot meet, where a workaround or custom build would not be reasonable, or where another tool in your stack is the better home for the data.
  • Be sceptical of migrate when the real problem is one of the first two. A new tool loaded with messy data and an unclear process usually reproduces the same frustration. Test your must-have list against Zoho's current documentation and editions before deciding.

Step 3: Safety checklist before any move (practical advice)

  • Ask an administrator to take a full Data Backup and download it within the seven-day link window.
  • Run module exports for every module you rely on, including Notes, and check the daily and record limits for your edition.
  • Check the backup against your record counts and open a few attachments and notes.
  • Separately export or copy email, documents and integration data, since the backup excludes them.
  • Write down custom fields, layouts, workflows, blueprints, custom functions and integrations as a map.
  • Store copies in two places with restricted access.
  • Keep Zoho CRM running in parallel until the new system is verified.
  • Do not delete records in bulk during the move. The Recycle Bin is a safety net, not a plan.
  • Before downgrading or cancelling, confirm the current terms and data handling for your edition with Zoho. We could not confirm from Zoho's CRM documentation what happens to data after cancelling.

Not sure which path you are on?

If you are weighing these options, Skyfall Labs can review your setup and tell you honestly whether it is a fix, a restructure or a genuine mismatch.

Frequently asked questions

How long do I have to download an export or backup?

Zoho states download links are available for seven days.

Can I recover deleted records?

Per Zoho, deleted records can be restored from the Recycle Bin within 60 days.

Should I leave Zoho CRM?
