Zoho CRM health check
Is your Zoho CRM underused? A 12-point health check
Teams load in their contacts and deals, then stop. The capability to fix most of what frustrates them is often already in Zoho CRM, simply unconfigured.
Reps keep side spreadsheets, leads sit unassigned and reports get built by hand. Here are twelve places teams commonly under-use Zoho CRM: the symptom you would notice, the Zoho feature that addresses it, and what to check.
Each feature is described from Zoho's own documentation, read 2026-10-14. Editions and limits vary, so where an edition matters we say to check yours.
Check 1 · Blueprint
Deals move forward with no consistent process
Reps skip steps, and no one can say what "ready for the next stage" means.
Zoho describes Blueprint as a way to run a business process in a structured sequence: define each stage, assign people, require key information at the relevant points, and automate routine actions. It is built from States and Transitions, and actions in a Transition can be mandatory or optional.
What to check: Do your real sales stages exist as a Blueprint, with mandatory steps where data tends to go missing?
Zoho documentationCheck 2 · Workflow Rules
Follow-ups and reminders are done by hand
Tasks are created manually and deal alerts depend on someone remembering.
Workflow Rules are a set of rules executed when specified conditions are met. They can be linked to email notifications, tasks, field updates, webhooks and functions (Deluge scripts).
What to check: List your five most repeated manual follow-ups and see whether a Workflow Rule covers each one.
Zoho documentationCheck 3 · Assignment Rules
New leads sit unassigned or are assigned ad hoc
Someone hands leads out manually and response time varies.
Assignment Rules assign records to the appropriate users. Zoho also documents Zia suggestions for Assignment Rules, covering record-owner suggestions.
What to check: Is record ownership set by a rule, rather than by whoever imports or notices the lead? Check which modules and editions apply to you.
Zoho documentationCheck 4 · Scoring Rules
Every lead looks equally important
Reps cherry-pick, or work leads in the order they arrived.
Zoho says Scoring Rules help prioritise leads, deals or contacts by estimating the likelihood to convert, based on a prospect's actions, insights, attributes and persona details. Rules can be created manually or through Zia.
What to check: Do you have a scoring rule, and do reps actually use the score to decide who to call first?
Zoho documentationCheck 5 · Validation Rules
Records are missing key fields or hold bad data
Deals without amounts, contacts without emails, inconsistent entries.
Zoho describes Validation Rules as a way to ensure the accuracy of data that enters CRM.
What to check: For your top three data-quality problems, is there a Validation Rule (or a Blueprint mandatory step) that prevents it at entry?
Zoho documentationCheck 6 · Cadences
Lead follow-up is inconsistent after the first touch
Leads go cold because no one chases a second or third time.
Cadences are module-specific, response-based follow-up sequences covering emails, tasks, calls and WhatsApp messages, with configurable delays and automatic un-enrollment when criteria are met. WhatsApp follow-ups require WhatsApp Business to be enabled under Business Messaging.
What to check: Is there a defined sequence for new leads, and who has the Cadences Enrollment permission to use it?
Zoho documentationCheck 7 · De-duplicate
The same customer exists three times
Reps email the same person twice and reports overcount.
Zoho's De-duplicate works across Leads, Accounts, Contacts, Deals, Vendors and custom modules, matching on up to three fields. Zoho states that merged duplicates are permanently deleted and CRM keeps no report of what was merged, and that it is available to users at the top of the hierarchy or with an administrative profile.
What to check: Plan a De-duplicate run on Contacts using email plus one more field, after taking a backup.
Zoho documentationCheck 8 · Forecasts
Forecasts are built in spreadsheets
Managers rebuild the quarter's number by hand.
Per Zoho's FAQ, administrators create forecasts, Territory Managers can set targets for their territories and sub-territories, and quarterly columns expand to a monthly split.
What to check: Are forecasts and targets configured in CRM, and can managers see them according to your role hierarchy?
Zoho documentationCheck 9 · Dashboards
Reporting means exporting to Excel
The leadership pack is assembled manually each month.
Dashboards can include components such as Charts, KPI, Comparator, Anomaly Detector, Target Meter, Funnel, Cohort, Quadrant and Zone analysis and Stage, with up to 20 components per dashboard. Users need the Reports permission.
What to check: Does each role have a dashboard that answers its three main questions without an export?
Zoho documentationCheck 10 · Zia
Zia is available but nobody uses it
The AI assistant is unknown to most of the team.
Zoho lists, among others, workflow and macro suggestions, lead, contact and deal assignment, best time to contact, email and call sentiment analysis, anomaly detection, field predictions, AI lead scoring and churn prediction.
What to check: Review the Zia options, pick the two that match your biggest current pain, and check your edition for each.
Zoho documentationCheck 11 · Sandbox
Changes go straight into the live CRM
A new workflow or layout change causes surprises for the sales team.
Zoho describes Sandbox as an isolated environment to test and validate business cases, and lists workflow rules, blueprints, Canvas detail pages, emails, and roles and profile settings as testable.
What to check: Do you test automations in a Sandbox before deploying them? Check your edition.
Zoho documentationCheck 12 · Canvas
Record pages are cluttered and hard to use
Reps scroll past dozens of fields to find what matters.
Canvas lets admins redesign the record detail page: field order, colours, fonts and custom buttons, available in all modules including custom modules. Users need the Manage Customization permission.
What to check: For your most-used module, does the detail page show a rep what they need first?

FAQ
Zoho CRM health check questions
Can Zoho CRM trigger actions in other apps?
Yes. Workflow Rules can call webhooks and functions, and Zoho Flow offers CRM triggers and actions. Zoho notes that limits in Zoho CRM depend on your subscription level.
What is the difference between a Workflow Rule and a Blueprint?
A Workflow Rule executes when conditions are met. A Blueprint defines a staged process with States and Transitions, with mandatory or optional actions.
Can I test changes safely before they go live?
Zoho's Sandbox is an isolated environment for testing workflow rules, blueprints and Canvas pages before deploying to production. Check which editions include it.
How does Zoho CRM help prioritise leads?
Through Scoring Rules, which can be created manually or through Zia.
Is merging duplicates reversible?
According to Zoho, merged duplicates are permanently deleted and CRM keeps no report of what was merged, so take a backup and plan before running a De-duplicate.
When it is worth bringing in a partner
Everything above can be configured in-house if you have an administrator with time and CRM knowledge. A Zoho partner can help when the work needs more than switching a feature on: mapping your real sales process into Blueprints and Workflow Rules, writing Deluge functions, connecting other systems through Zoho Flow, or cleaning data before a de-duplication run. Skyfall Labs is an official Zoho Partner, and we are glad to give a second pair of eyes on this checklist for your account.
