Zoho CRM and WhatsApp

Zoho CRM WhatsApp integration: what you need and how to set it up

Teams that sell over WhatsApp usually want the conversation to appear on the lead or contact record instead of living on one person's phone. This guide covers the general route: a verified WhatsApp Business account, then Zoho's native integration, a Marketplace app or a custom build. Skyfall Labs is an official Zoho Partner and has a commercial interest in Zoho projects; product facts are limited to the cited pages and the research behind them, and our advice is labelled as advice. Details change, so verify against current Zoho documentation.

Statements below come from the Zoho pages listed under Sources, read 2026-10-14. Zoho changes its pages, plans and prices, so confirm current details with Zoho.

Why teams want it

Messages on the lead or contact record mean the history survives staff changes, managers can see follow-up, and automation can react to replies. Without it, WhatsApp is a blind spot in an otherwise tracked pipeline.

Step one: a WhatsApp Business account

For Zoho's own integration, the help article lists these prerequisites: a Facebook Business Manager account and a verified business, a WhatsApp Business account, and a registered phone number for the WhatsApp Business API that meets Meta's requirements (only unused numbers can be used). A third-party app or custom build will have its own requirements, so check with your chosen provider and Meta's current documentation, since approval rules and message templates change.

Step two: Marketplace app or custom build

Zoho CRM has its own WhatsApp Business integration. Per the help article, an administrator goes to Setup, Channels, Business Messaging, then under WhatsApp clicks Details and Integrate, and connects a Meta account, phone number and WhatsApp Business account. Zoho says it is supported in the free trial and all paid editions, only Meta-approved templates can be sent, customers must start the conversation and CRM users can reply within 24 hours of a customer message, and businesses are charged per conversation with credits bought in CRM. Zoho's release note adds support for multiple WhatsApp Business Accounts and numbers and for custom modules.

The other routes are a third-party app from the Zoho Marketplace (a community post recommends SMS-Magic, and the Marketplace also lists apps such as WhatsApp Messaging for Zoho CRM by APPORT) or a custom build against your provider's API. We are not quoting prices for any of them; check the help article and the Marketplace listings before you decide.

Step three: test it properly (practical advice)

This section is advice from experience, not vendor documentation.

  • Use a test lead with a mobile number you control, in international format with the country code.
  • Message the business number from that phone first, since customers start the conversation, then reply from CRM within the 24-hour window and confirm it arrives.
  • For outbound messages outside that window, send an approved template and confirm it arrives.
  • Reply from the phone and confirm the reply logs on the record.
  • Check who is allowed to see the conversation, since messages can hold personal data.
  • Confirm opt-in: only message people who agreed to be contacted on WhatsApp.

Choosing between the routes

Zoho's native integration is the first thing to check for a standard need; a Marketplace app may suit particular requirements. A custom build makes sense when messages must trigger workflows, link to deals and quotes, or fit an unusual process. Skyfall Labs builds Zoho integrations and automation; because we are a Zoho Partner, treat our view with the interest we have disclosed.

Frequently asked questions

Can Zoho CRM log WhatsApp messages?

Yes. Zoho CRM has a native WhatsApp Business integration (Setup, Channels, Business Messaging), and Marketplace apps or a custom build are alternatives. Verify current details in Zoho's documentation.

Do I need a WhatsApp Business account?

For Zoho's own integration, Zoho's help article lists a Facebook Business Manager account with a verified business, a WhatsApp Business account and a registered phone number as prerequisites.

Where do I install a Marketplace app?

A Zoho community post describes opening the Settings icon in CRM and choosing Marketplace, then searching for a WhatsApp app.

How do I test the connection?

Use a lead with a mobile number you control, message the business number from that phone, reply from CRM and check that the conversation appears on the record.
