Zoho Zia Agents vs custom AI automation: what Zia does and where custom AI fits

What Zia has traditionally been

Zia is Zoho's built-in AI assistant. We have not verified in this guide exactly which Zia features each Zoho CRM edition includes, and Zoho's AI features change quickly, so check what your edition includes today before comparing it with anything else.

What Zia Agents are

Zoho's help describes Zia Agents in Zoho CRM as AI agents you build in Zia Agents and then deploy into CRM. One deployment option is a Digital Employee: the agent becomes a user with its own email address, its own profile and role, and actions logged under its own identity. With the other option, a connection, actions are logged under the user who deployed it and the agent has no separate CRM identity. That structure matters because an agent's access can then be governed in the same way as a person's. See our guide to roles and profiles if that part of your setup is already messy.

Edition and pricing

Zoho's sources do not agree on availability. The help article lists Zoho CRM paid plans, while a Zoho community post says Zia Agents in Zoho CRM is available on Enterprise and above in certain data centres and that Digital Employee is supported on standalone CRM plans only. We are deliberately not quoting a price here. Check Zoho's current pricing and help pages for the edition you would actually need.

Reaching tools outside Zoho

We have not verified in this guide how Zia Agents connect to systems outside Zoho. It is a sensible question to put to any option: which of your systems does it need to read and write, and how is that connection built and maintained?

What we could not find

The Zoho CRM help article we read states no numeric limits for Zia Agents (such as agent counts or usage quotas), and it notes that its example Sales Coach agent works only within the Deals module. Rather than guess, ask Zoho or your partner for current limits in writing and compare cost and fit case by case.

How to decide (practical advice)

This section is advice from experience, not vendor documentation.

• Start from the job, not the tool: which repetitive task, which data, who reviews the output?
• If the job lives entirely inside Zoho and matches built-in features, try those first.
• If it spans several systems, needs your own rules or data, or needs special review steps, a custom automation may fit better.
• Check workflow and automation basics first; many problems people want AI for are solved more cheaply by a well-built workflow or Blueprint.
• Whichever route you choose, give the agent only the permissions it needs and keep a record of what it does.
