Simplifying Zoho CRM

Zoho CRM too complicated? What to simplify first

A CRM feels complicated when every user sees everything. Zoho gives you several documented ways to show each person only what they need.

Statements below come from the Zoho pages listed under Sources, read 2026-10-14. Zoho changes its pages, plans and prices, so confirm current details with Zoho.

1. Give different teams different layouts

Page layouts let one module support different processes, each with its own fields, sections and pick-list values. You assign layouts to profiles and set a default per profile. It needs the Module Customization permission, and Zoho does not list editions on that page, so check your edition.

2. Show fields only when they matter

Layout rules show or hide fields, sections and subforms and set fields mandatory based on values entered elsewhere, with a limit on rules per layout. They do not remove fields from the layout and do not apply to imported, web-form or lead-convert records.

3. Control field visibility per profile

On each field you can set Read and Write, Read Only, or Don't Show for a selected profile. Zoho describes Don't Show as blocking users from viewing or editing, not deleting.

4. Make the right fields required, and no others

A field can be mandatory in one layout and not in another, and layout rules can add conditional requirements. Practical advice: require only the fields someone truly needs to act on the record, because every extra required field invites junk values.

5. Custom views

Users with the Manage Custom Views permission create views with criteria, chosen columns and sharing options (all users, only you, or specific ones). Zoho suggests fewer than ten columns to avoid horizontal scrolling.

6. Kanban and Canvas views

A Kanban view shows cards grouped by a field such as lead status or deal stage, and multiple views per module are allowed, with the number varying by edition. A Canvas view is a customizable presentation of records in list, tile or table layouts, created by admins and users with the Manage Custom View permission.

Where to start (practical advice)

  • Ask each role what they open every day and build one custom view for it.
  • Set the fields nobody uses to Don't Show per profile before touching anything else.
  • Keep one layout per genuinely different process, not per person.
  • Change one module at a time and tell the team first.
  • Do Canvas last, after fields and layouts are tidy.

Frequently asked questions

Will hiding a field delete its data?

Zoho describes Don't Show as blocking users from viewing or editing, not deleting. Check before deleting a field itself.

Can each team have its own screen?

Yes, through page layouts assigned to profiles.

Do I need Enterprise for layouts?

Zoho's layout page does not state an edition, so check your edition.

What is the difference between a custom view and a Kanban view?

A custom view filters and chooses the columns of a list. A Kanban view shows cards grouped by a field.
